A practical starting point

Count accepted work

A subscription price or credit allowance does not tell you the cost of a completed business task. The useful question is what it takes to produce an outcome your team accepts. This guide brings usage, human review, implementation and ongoing operation into the same decision, with explicit assumptions and room for a less favourable result.

Choose a unit that matters to the process: a reviewed document, a complete handoff or an accepted briefing. Include failed attempts and repeat work when measuring consumption. A cheap model call may still be an expensive workflow if it creates substantial checking and correction.

Compare the complete cost

Consider subscription, consumption, configuration, integrations, administration and review effort. Distinguish credits purchased from credits consumed, and recurring demand from an occasional peak. Use the plan's current commercial terms when modelling allowances, top-ups and expiry; do not assume an unused balance is a saving.

Keep value and cash separate

Time released creates capacity that the organisation must decide how to use. It is not automatically a reduction in expenditure. Compare a base case with lower benefit, higher review effort or greater usage. Record which assumptions a pilot must measure before using the figures for a wider commitment.
