A practical starting point

Find the handoff that slows the programme

An application arrives without a document. A programme worker has to reconstruct the history before following up. A reporting deadline sends the team back through notes and attachments. This guide examines how AI could help prepare that work while keeping eligibility, funding and service decisions with the people responsible for the programme.

Map where information arrives, who checks it and what happens next. An application with a missing attachment needs a different response from one that is ready for review. Define the evidence the next person needs rather than treating every application as the same automation opportunity.

Prepare the work without assuming the decision

A configured workflow could extract candidate information, identify a missing item or prepare a follow-up. The programme must define the rules, permitted actions and review points. Keep an AI suggestion separate from the authoritative record and from the staff member's decision about assistance.

Measure capacity where it matters

Compare the time needed to reach a reviewable application, the corrections required and the number of repeat contacts. Include incomplete and unusual cases. Reduced preparation effort may release staff capacity; it does not by itself establish cash savings or better programme outcomes.
