A practical starting point

Separate public guidance from resident context

A prospective tenant needs an answer before arranging a viewing. A resident needs guidance about a building service. The team receiving the next request needs enough context to act. This guide treats those as distinct workflows, with different information, identities and handoffs, rather than one generic property chatbot.

A website inquiry, an authenticated resident request and an internal leasing conversation should not assume the same access. Identify the information each person may use and how it stays current. Property facts, policies and availability may live in different systems; establish the source of each before designing the answer.

Give the next person a usable handoff

Define which details a leasing or service colleague needs, where the request is recorded and who owns it. An AI conversation is only part of the process. Missing information, an uncertain answer or a request outside the permitted scope needs a clear route to a person.

Test the whole service journey

Evaluate representative inquiries, inaccessible information and exceptions, as well as straightforward answers. Measure handoff completeness, corrections and staff effort. Keep evidence of a configured customer deployment separate from claims about occupancy, conversion, satisfaction or time saved.
